Thank you for checking about how to contribute your genealogical materials and data for use in the USGenWeb Project. All contributed materials will remain accessible, without charge.

• Please copy the USGenWeb Notice to your hard disk and place it at the top of each item you submit. (Just update the contributor and email address.)
• Indicate the county name in the subject of the transmittal email.
• Submit items for more than one county in separate emails.
• Check with the archivist to assure your file formats and programs are transferable and readable.
• Submit files in text format, preferably saved in a text editor, such as, Tex-Edit Plus © (MAC) or Notepad+ (PC).
• Submit spreadsheet data in either comma or tab delimited format. While we accept some spreadsheet and data base files, they take a great deal of extra effort to prepare for readable viewing. If you can convert them to a text format, prior to submission, that is preferable. Follow file size guideline below.
• Keep files to around 60 kb in size. Split into smaller ones, if necessary. Larger ones really eat up the bandwidth.
• Notify us if you change your email address. If you have a permanent email address, please use that.

Archives Submission Guidelines

1. Only virus-checked files will be accepted.

2. Text is preferred and depending on the size, we may zip it. Non-text may be converted to text before storing. Large files may be split. We may, at our discretion, store the same data in several formats. Scanned documents will be considered, depending on their content.

3. All data is free to the public, and the USGenWeb Archives project will not pay royalties on any submissions.

4. Data is provided for downloading "as is" -- no guarantees of anything.

5. File contributors must use their own discretion regarding the inclusion of data on living people.

6. We will not accept gedcoms or other computer generated forms due to space considerations. Family histories are acceptable.

7. No executable files will be accepted.

8. Do not send copyrighted material, unless it is your own, and you include a statement of permission to use in the document. Note: Public domain records cannot be copyrighted.

9. No anonymous submissions.

10. We cannot guarantee permanency, in the event data is lost.

11. Any obviously false, malicious, libelous, or copyrighted data will be deleted. We do not guarantee the validity of any files.

12. These guidelines are subject to change.

13. We retain the right not to use any submission.

14. Files in the USGenWeb Archives may not be copied for selling in any format.
